Trade Mark Records Manager – London

A well-established and highly regarded intellectual property firm is seeking an experienced Trade Marks Records Manager to take ownership of a key operational function within its trade marks practice. The firm is recognised for its technical strength, supportive culture and commitment to improving how services are delivered to a diverse international client base.

This is a senior, hands-on position where you will lead the trade marks records and renewals function, with responsibility for shaping processes, improving efficiency and developing the team. You will play a central role in driving operational improvements, strengthening systems and ensuring best practice across all records and docketing activity. The role will suit an experienced trade marks formalities professional who enjoys combining leadership with practical delivery and wants real scope to influence how a function evolves.

Key Responsibilities:
*Lead and develop the trade marks records and renewals team, promoting a high-performing and collaborative culture
*Maintain the accuracy and integrity of all trade mark records and associated data
*Review and improve processes for renewals, deadlines and case management
*Oversee docketing activity and ensure compliance with internal procedures and external requirements
*Support and deliver improvements to systems, workflows and automation initiatives
*Collaborate with internal stakeholders on system changes and process enhancements
*Configure and maintain records management system rules to ensure effective deadline control
*Manage onboarding of large portfolios and data migrations, ensuring accuracy and consistency of data
*Produce reports to support both operational decision-making and client requirements
*Deliver training and ongoing support to team members and wider users of the system
*Monitor relevant legal and procedural updates and ensure processes remain compliant
*Act as main contact for external software providers, managing issues, updates and enhancements
Requirements:
*CITMA qualification (essential)
*Significant experience in trade marks formalities, including team or supervisory responsibility
*Strong understanding of trade mark records and renewals processes
*Experience with Inprotech or similar records management systems
*Strong communication skills and ability to build effective working relationships
*Proactive, solutions-focused approach with strong attention to detail
*Ability to manage competing priorities in a busy environment
