Job Description:
Full job descriptionThis organisation is a leading firm within its sector, operating as a small and close-knit team based in the City of London. They are seeking a highly organised and proactive Office Manager to oversee the smooth day-to-day operations of the London office, ensuring an efficient, professional, and well-run environment for both staff and visiting clients. This is a 6 month Fixed Term Contract running until the end of October.
Office Operations & Facilities Management
*Oversee the daily running of the office, ensuring a well-organised and professional environment
*Manage meeting room scheduling, setup, and presentation for internal and external meetings
*Act as the first point of contact for visitors, ensuring a high standard of reception and hospitality
*Coordinate office supplies, equipment, and third-party service providers as required
Team & Administrative Support
*Provide administrative support across the wider team to ensure operational efficiency
*Coordinate internal processes and workflows to support business activities
*Maintain and update internal systems and databases (including CRM)
Travel & Logistics Coordination
*Manage team travel arrangements, including booking flights, accommodation, and itineraries (approx. 5–10 trips per quarter)
*Ensure efficient travel planning aligned with business needs and budgets
Finance & Reporting Support
*Coordinate and process monthly expense claims for the team
*Support basic financial administration and record-keeping where required
Meetings & Client Coordination
*Coordinate internal and external meetings across multiple time zones
*Liaise with clients and stakeholders to schedule meetings and ensure seamless logistics
Events & Office Engagement
*Assist in the organisation and delivery of internal and external events, including client events for 50+ attendees
*Support office initiatives that enhance team culture and engagement
Documentation & Presentation
*Prepare and format business documents and presentations (PowerPoint, Word, Excel) as required
General Office Management
*Identify opportunities to improve office processes, systems, and efficiency
*Undertake additional duties to support the effective running of the London office
