Estates Administrator & Transport CoordinatorLocation: South Yorkshire
Hours: Full time, 37 hours per week (all year round)
Contract: Temporary
Pay: £17 per hour
About the RoleReed Further are looking for an Estates Administrator & Transport Coordinator to become the operational heartbeat of a college’s Estates team. This is a pivotal, fast-paced role where no two days are the same, keeping the college campus running efficiently, the fleet safe and compliant, and administrative systems first-class.
You will act as the central point of contact for the Estates department, working with staff, students, contractors, and emergency services. Supporting the Director of Estates and wider team, you will ensure seamless communication and coordination across all three campuses.
Key ResponsibilitiesTransport & Fleet Management*Manage the minibus booking system, coordinating schedules effectively
*Line manage a team of College Drivers, including rotas, routes, and training
*Ensure full fleet compliance (MOTs, servicing, insurance, and tax)
*Respond quickly and effectively to transport incidents and issues
Administration & Finance*Procure supplies and PPE, ensuring value for money and compliance
*Process invoices and purchase orders with accuracy
*Manage service contracts and maintain detailed records of works and insurance
*Act as the lead administrator for the CAFM/CRM system, including training colleagues
Safety & Compliance*Support emergency procedures, including evacuations and coordination with emergency services
*Maintain critical records such as COSHH, risk assessments, and equipment registers
*Line manage and support the Estates Admin Apprentice, helping develop their skills
About YouTo succeed in this role, you will have:
*Experience in an estates, facilities, or similar environment
*Strong administrative and organisational skills
*A solid understanding of compliance, systems, and record keeping
*Excellent communication and relationship-building skills
*The ability to work across multiple sites effectively
*Enhanced DBS on the update service
You will ideally:
*Have experience supervising or supporting staff
*Be confident managing your own workload and supporting others
*Be proficient in Microsoft Office or Google systems
Qualifications:
*Level 2 qualification (or equivalent) in English and Maths (or willingness to achieve)
*Additional qualifications in business administration, IT, or customer service are advantageous

All candidates who register with Reed Further Education will have 2 years’ referencing taken up and will be required to have a DBS check completed. All offers are conditional upon satisfactory background checks.
