Full job descriptionA highly regarded architectural practice looking for an Operations Coordinator. This is a varied and pivotal role, ideal for someone who thrives in a fast-paced, collaborative environment and enjoys balancing administration, coordination, and people-facing responsibilities.
The Role


As Operations Coordinator, you will act as the central point of contact for the studio, ensuring smooth day-to-day operations while supporting project teams and wider practice functions.
Key Responsibilities


Practice Management
*Manage reception, calls, and provide a professional first point of contact
*Maintain high standards of studio presentation and housekeeping
*Coordinate meeting room bookings and refreshments
*Meet and greet visitors
*Manage post, couriers, and deliveries
*Oversee studio supplies and work within budget
*Liaise with landlords, contractors, and suppliers
*Support onboarding of new starters
*Coordinate and track employee training (CPD, CITB, etc.)
*Ensure compliance with H&S and ISO standards (9001 & 14001)
*Assist with timesheets and holiday coordination
*Support internal communications and studio updates
*Help organise social events and team activities
Project Administration
*Format and produce project documentation (reports, minutes, agendas)
*Support bid submissions and document collation
*Arrange statutory utility searches
*Assist with project tracking systems (CMAP), including resourcing and invoicing schedules
*Support project reviews and quality management processes
Practice-Wide Support
*Set up new projects and maintain filing systems
*Book travel and accommodation
*Support marketing and graphics teams with project information
*Assist with company-wide events, ESG initiatives, and CPDs
*Take and distribute minutes for internal meetings
About You
*Highly organised with excellent attention to detail
*Strong communication and interpersonal skills
*Confident managing multiple priorities
*Proficient in Microsoft Office
*Previous experience in a similar coordination/administration role preferred
