About the Knowledge Exchange Group:
The Knowledge Exchange Group produces timely conferences, public policy briefings, interactive workshops and practical training across 3 brands. We run over 150 events each year, helping to inform and impact on key topical issues facing the public and private sectors. Politically independent, we pride ourselves on our ability to deliver events that not only provide useful information but also contribute to important debates and shape cultural change. Our divisions are Westminster Insight, Holyrood Insight and Policy Insight Wales.
The Role:
The Knowledge Exchange Group requires an event coordinator to join our dynamic team to deliver face-face one-day conferences, digital events and online training courses. The successful candidate will be an organised and efficient team player, who is comfortable with technology and used to working in a virtual environment. You’ll have some experience of events or training, however we will provide full training and development to ensure you succeed in this role.
Responsibilities:
You will deliver virtual conferences, online training and face to face events.
Virtual events
*Digital platform management – to set up the event on the digital platform using in-house style and custom branding.
*To arrange speaker rehearsals and tech checks.
*To liaise with the production team and technical team who will choreograph the live stream.
*To create the running order for the day, event materials, and master slide deck.
*On the day event management – liaison with the production team, managing technical support, sending notifications and alerts, show calling.
Face to Face events
*To liaise with and source conference venues and A/V providers.
*To coordinate logistics with venues, e.g., seating, food, access, sponsor requirements, etc.
*To deliver event materials, branding and signage (within the agreed budget).
*On the day management of the event, including registration.
Training
*To set up webinars on Zoom and provide technical support for the event, before and during the event.
*To send materials to delegates and pre-event questionnaires.
Speaker communications
*To liaise with speakers after they have been confirmed by the content team
*To send agreement letters, including the marketing toolkit, speaker discounts, venue information, joining instructions, Chair’s Notes and virtual platform links.
*Arranging travel and accommodation, within budget.
*Chasing speaker biographies, logos, and presentations.
Delegate Administration
*To send joining instructions to delegates, to chase outstanding payments.
*To distribute evaluation forms and analyse results.
*To deliver customer and technical support, by phone, email or online.
Exhibition and Sponsor Liaison
*To organise the conference branding and signage for the day.
*To manage logistical arrangements and expectations of sponsors, chase materials.
Other Duties
*To undertake any other duties in keeping with this job role and to support the wider business.
*Occasional travel within UK may be required.
Personal Attributes and Experience:
*Six months of previous events experience or a degree in events.
*Educated to degree level, or similar.
*Excellent IT skills e.g. Microsoft Office, Zoom.
*Previous use of a virtual event platform (desirable), basic graphic design skills (desirable)
*Excellent planning and organisational skills, accurate and meticulous.
*Excellent customer service skills, enthusiastic and helpful approach.
*A team player.
*Reliable, ability to problem solve.
*A good communicator, able to build relationships and deal with senior speakers.
