You’ll provide key administrative and logistical support for professional medical training, internal meetings, national events, and conferences. This role is ideal for someone with exceptional organisation, communication and problem-solving skills who thrives in a dynamic, fast-paced environment and is passionate about customer experience.


*Coordinate the end-to-end administration of internal and external training events, ensuring all documentation, communication, and logistics are executed
*Manage model recruitment and communication, maintain GDPR-compliant model databases, and ensure smooth scheduling for all hands-on sessions
*Serve as the primary point of contact for delegate enquiries, providing clear and timely communication
*Process delegate payments and refunds in accordance with company policy
*Prepare and send physical training materials, dermal fillers and demo cosmetics products, ensuring accurate packaging and timely dispatch
*Monitor and manage training stock levels, including event kits, dermal fillers, demo products, branded materials, and printed literature, emergency care - working with the warehouse and suppliers to reorder when necessary
*Collaborate with internal departments and external vendors to ensure all event logistics - such as venues, trainers, travel, accommodation, catering, AV, and compliance - are professionally managed and on schedule
*Coordinate domestic travel and accommodation for external trainers, internal staff, and medical faculty, ensuring alignment with budget and preferences
*Manage the internal training calendar and delegate tracking systems to ensure up-to-date visibility on upcoming sessions, delegate volumes, trainer availability, and venue bookings
*Maintain effective communication with third-party venues and service providers to confirm arrangements, resolve issues
*Provide administrative support during larger events (e.g., congresses, national faculty meetings) including creation of event packs, signage, tracking attendee lists, and post-event admin
*Ensure all internal and external stakeholders follow correct SOPs and compliance processes before, during, and after each training event
*Run and maintain regular reporting dashboards and performance metrics for training events, including delegate feedback, trainer evaluations, model attendance, and cost tracking
*Collaborate with the Medical Education team to collect, manage, and file all regulatory documentation and feedback according to compliance standards
*Assist in managing the feedback loop such as gathering and analysing post-event data to suggest improvements and contribute to future training strategy
*Assist in preparing internal presentation decks, performance summaries, and post-event reports for senior leadership
