Full job descriptionRole – Administrative Office Assistant
Location – Manchester City Centre (Hybrid)
Salary - £24,800-£28,000 (Dependent on experience
Type – 12-month Fixed term Contract
Reed are currently working with a global civil, geo-environmental and structural engineering consultancy with offices in the UK, Australia, New Zealand, Malaysia, Vietnam, Dubai and Spain.
The client is now looking for an organised pro-active Administrator to join their team on a 12-month FTC. The role will be based out of their lovely offices in the heart of Manchester but you will have the option for hybrid working also.
Job description and responsibilities:
*Reporting - generate and prepare various reports.
*Invoicing – process incoming invoices and prepare the submission of outgoing invoices.
*Database management - maintain and update databases and records to ensure accuracy and completeness
*Meeting and event coordination – arrange and schedule meetings, ensuring all logistical requirements are met, and coordinate catering for meetings and events.
*Logistics coordination – make accommodation and transportation bookings; organise and coordinate Continuing Professional Development (CPD) sessions.
*Office equipment maintenance – oversee the maintenance and proper functioning of office equipment, and coordinate with external vendors for repairs and servicing.
*IT support – assist with setting up new laptops and workstations; troubleshoot and address basic IT-related issues in collaboration with the IT department.
*Customer service – address and respond to enquiries; manage incoming mail and distribute accordingly.
*Compliance – assist with the preparation of submissions for maintenance of various certifications.
*Other activities necessary for the smooth running and development of the business.
Skills and experience needed:
*Proven experience in office administration or a related field.
*Excellent attention to detail and accuracy.
*Strong organisational and multitasking skills.
*Proficient in Microsoft Office Suite, Google Suite and database management.
*Exceptional communication and interpersonal skills.
*Ability to work independently and as part of a team.
*Ability to maintain confidentiality and handle sensitive information with discretion.
*Knowledge of Xero accounting software.
