Salary: £25,000 - £30,000 depending on experience

The Role
As an IFA Administrator, you will provide comprehensive administrative support to Financial Advisers, clients, and colleagues, ensuring the smooth delivery of financial planning services. The successful IFA Administrator will play a vital role in maintaining high service standards, processing business efficiently, and supporting the client journey from initial enquiry through to ongoing servicing.
Key Responsibilities
As an IFA Administrator, your duties will include:
Providing high-quality administrative support to Financial Advisers and clients.
Processing new business applications, fund switches, withdrawals, and policy servicing requests.
Maintaining accurate client records and updating CRM systems.
Preparing client documentation and ensuring suitability packs are issued promptly.
Liaising with providers, clients, and advisers to progress cases efficiently.
Handling incoming enquiries by telephone, email, and written correspondence.
Supporting advisers with pre- and post-meeting administration.
Obtaining policy information and illustrations from product providers.
Monitoring and chasing outstanding business to completion.
Ensuring all work is completed accurately and within agreed service standards.
Building strong professional relationships with clients, providers, and colleagues.
Assisting with general office and operational administration when required.
Maintaining compliance with FCA regulations, Consumer Duty requirements, AML procedures, Data Protection legislation, and company policies.
Delivering exceptional levels of client service at all times.
What We’re Looking For
The ideal IFA Administrator will have:
GCSE Grade 4 (or equivalent) in English and Mathematics.
Previous experience working as an IFA Administrator within a Financial Planning or Wealth Management environment.
Knowledge of pensions, investments, protection, and financial planning products.
Experience using CRM and back-office systems.
A good understanding of the UK financial services regulatory framework.
Excellent communication skills, both written and verbal.
Strong organisational and administrative skills.
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Excellent attention to detail and accuracy.
A professional, positive, and collaborative approach.
The ability to manage workloads effectively and prioritise tasks.
A commitment to delivering outstanding client service.
Desirable Skills
Working towards an industry qualification such as the CII Diploma.
Experience supporting Financial Advisers within an Independent Financial Advice practice.
Strong analytical and problem-solving skills.
Ability to work independently and as part of a team.
Willingness to develop technical knowledge and progress professionally.
Ability to adapt confidently to changing priorities.
