At Impact HR, we provide expert, people-first HR consultancy services to businesses across the UK. We’re growing, and we’re looking for a hands-on, service-driven HR Administrator to provide expert administration support to our client base and team of HR professionals.

This role is central to delivering a high quality and reliable HR service within our central administration team. You will provide the support to ensure smooth HR operations across our regions, ensuring documentation is accurate, processes are compliant and clients feel supported.
This role is perfect for someone who excels at providing impactful HR administrative support. You draw on your adminstration experience and knowledge of HR practices to support day to day operations, whilst building lasting relationships with clients and the team within Impact HR. This role is an excellent opportunity to gain experience in all things HR, with potential for career progression.
What you will be doing
You will work closely with clients and our internal team of HR Consultants and Advisors to deliver comprehensive HR administrative support.
Service delivery and client support
*Providing end-to-end HR administration tailored to each client’s service needs
*Creating, reviewing, and maintaining the internal HR document library, including but not limited to contracts, handbooks, policies and letters, to ensure compliance with UK employment law and best practice
*Proactively revewing and updating client contracts, handbooks and policies in line with legislative changes and in accordance with clients’ change requests
*Drafting a range of HR documents including contracts, variation letters, case documentation, and checklists
*Managing end-to-end onboarding processes, including issuing contracts, new starter documentation and obtaining references on behalf of clients
*Supporting recruitment processes, including drafting adverts, advising on advertising channels, screening CVs, coordinating interviews, and managing candidate and client communications
*Supporting the internal team of HR Consultants and Advisors with casework, including note-taking, preparing documentation, and evidence packs
*Acting as a key point of contact for clients’ administration needs, building strong relationships and delivering a responsive, professional service
*Monitoring shared inboxes, responding to queries promptly, and escalating where appropriate
*Maintaining accurate records in our internal CRM
*Maintaining accurate records in our HR systems managed on behalf of our clients, acting as a system ’super Administrator/User’ and supporting with promotions and demos where required
*Preparing and issuing client reports, providing meaningful insights into key people metrics (e.g. absence, holiday, turnover)
*Supporting wider administrative tasks across both client work and internal operations
*Continuously developing your HR knowledge and sharing insights with the wider team
*Ensuring all work is aligned with internal systems, processes, and operational standards
*Supporting the wider consultancy team in delivering high-quality HR services to clients
*Any other duties as required
What Success Looks Like (First 12 Months)
*You have built strong, trusted relationships with our client base and internal team
*All client documentation is accurate, compliant, and proactively maintained
*You confidently manage multiple priorities while delivering high-quality, detail-focused work
*Recruitment administration and onboarding processes run smoothly and professionally for clients
*You are seen as a reliable first point of contact, providing timely and helpful support
*Our internal CRM system is kept up to date with accurate client data and time recording
*Our client’s HR systems are managed and maintained, with you being the ’go-to’ for system knowledge
*You contribute to team success by supporting projects, sharing knowledge, and improving processes
*Clients experience a seamless, responsive service that reflects Impact HR standards
*Your written and verbal communication is consistently accurate, professional and tailored to the client
About You
You are an organised and proactive HR administrator who enjoys working in a fast paced, client focused environment. You are comfortable working remotely within a wider team and autonomously at times, and love a variety in your work.
You will likely bring:
*Experience in a busy HR environment, supporting a wide range of HR administration activities
*Proven ability to deliver high-quality, timely support to clients and internal stakeholders
*Confident providing HR administration support, with the ability to escalate more complex matters appropriately
*Strong attention to detail and pride in producing accurate, high-quality work
*Excellent communication skills, both written and verbal
*Proficiency with MS 365
*Experience with CRMs and HR systems (ideally Breathe HR)
*Strong organisational skills with the ability to manage multiple tasks effectively
*A genuine interest in understanding client businesses and building lasting relationships
*Knowledge of UK employment law and HR best practice
*CIPD Level 3 (or higher), or currently working towards it (or equivalent experience)
