The Role
As the Senior Event Project Executive, you will split your time between supporting the delivery of large, complex events and taking full ownership of small to medium projects from start to finish.
- Lead the delegate process across multiple projects, from registration site build and communications through to onsite check-in and post-event reporting.
- Support the live team on large-scale events: supplier sourcing, budget tracking, risk assessments, data protection compliance, travel documentation, print coordination and onsite logistics.
- Liaise with clients and the in-house creative team to develop event concepts, produce copywriting, and coordinate teasers, itineraries and delegate comms.
- Take sole ownership of smaller events, leading client calls, setting milestones and timelines, managing budgets, and delivering onsite with full responsibility for all personnel on the ground.
- Produce post-event evaluation and ROI reports, feeding findings back into future planning.
The Candidate
The Senior Event Project Executive we are looking for will have built solid, hands-on experience in fast-paced event delivery and be ready to take on a role with genuine independence.
- Proven experience in delegate coordination, including registration platform delivery across multi-project or multi-client environments.
- Strong multi-project coordination skills with a track record of managing tight timelines without dropping the detail.
- Solid grounding in event logistics: supplier sourcing, budgeting, risk assessment and data protection compliance.
- Confident, professional client communication and the ability to troubleshoot calmly under pressure, onsite and off.
- Hands-on experience producing event collateral: copywriting, delegate comms, itineraries, travel documentation and print coordination.
Experience with incentive travel or multi-location international events would be beneficial but is not essential, as is familiarity with brand activation, experiential or roadshow delivery. If you have been involved in post-event analysis or ROI reporting, that is a bonus, and exposure to working alongside creative or design teams on live briefs will give you a head start. What matters most is that you are organised, confident in front of clients, genuinely excited about the variety that brand experiences and incentive travel bring, and ready to take on more responsibility than your current role is giving you.
