Job Type: Full-Time, Office Based
Hours: Monday to Friday, 9:00am – 5:00pm
About the RoleWe are looking for a proactive and organised Client Administrator to join a busy financial planning team, supporting Financial Advisers in delivering an outstanding client experience.
This is a varied role combining administration, client communication and basic paraplanning support. You’ll play a key part in ensuring the advice process runs smoothly while building strong relationships with clients through excellent customer service.
Key ResponsibilitiesClient Support*Prepare documentation and meeting packs for client meetings.
*Process new business, client onboarding and ongoing administration.
*Liaise with product providers regarding investments, pensions and protection policies.
*Monitor and progress client cases from submission through to completion.
Client Communication*Confidently make outbound calls to clients to arrange annual review meetings.
*Contact clients to obtain outstanding information and documentation.
*Follow up with prospective clients where appropriate.
*Respond to client enquiries professionally, delivering excellent customer service.
*Manage adviser diaries and schedule client appointments.
Compliance & Administration*Maintain accurate client records and update CRM systems.
*Ensure all work complies with FCA regulations and internal compliance procedures.
*Support Consumer Duty requirements and attend relevant compliance training.
Basic Paraplanning Support*Prepare annual review and fund switch reports.
*Assist with new investment and pension cases, including regular contributions and lump sum investments.
Team Support*Provide administrative support to colleagues as required.
*Assist with training new team members and contribute to continuous process improvements.
Skills & ExperienceEssential*Previous experience in an administrative role, ideally within Financial Services.
*Excellent telephone and communication skills with confidence making outbound calls.
*Strong organisational skills and exceptional attention to detail.
*Outstanding customer service skills.
*Ability to manage multiple priorities in a fast-paced environment.
*Proficiency in Microsoft Office and CRM systems.
Desirable*Previous experience within Financial Planning or Wealth Management.
*Knowledge of pensions, investments and FCA regulations.
*Experience using financial planning or back-office systems.
Personal Attributes*Professional, proactive and well organised.
*Confident communicator with a friendly and professional telephone manner.
*Client-focused with excellent relationship-building skills.
*Reliable, adaptable and able to work independently as well as part of a team.
