Are you an experienced Executive Assistant who thrives in a fast-paced environment and enjoys supporting senior leaders?
Vivid Healthcare is recruiting for a Band 5 Executive Assistant to provide temporary cover within a busy Directors Office. This is an excellent opportunity for a highly organised and professional individual to join an NHS team on an initial 3-month contract, with the potential for extension.
This hybrid role offers flexibility, with home working available where service needs allow. However, you’ll also be required to provide office cover when needed. Part-time applications will also be considered.
The RoleAs Executive Assistant, you’ll provide comprehensive administrative and organisational support to senior Directors, ensuring the smooth running of the office and helping to deliver an efficient, high-quality service.
You’ll be responsible for managing complex diaries, coordinating meetings, preparing documentation, taking accurate minutes, and handling confidential information with professionalism and discretion.
Key Responsibilities*Provide high-level administrative support to Directors and senior management.
*Manage complex diaries, appointments, and meeting schedules.
*Organise meetings, prepare agendas, and distribute relevant documentation.
*Take accurate minutes and monitor follow-up actions.
*Coordinate correspondence and manage incoming enquiries.
*Maintain confidential records and sensitive information in line with NHS policies.
*Prepare reports, presentations, and other documentation using Microsoft Office.
*Liaise with internal departments and external stakeholders professionally and efficiently.
*Support the day-to-day running of the Directors Office.
What We’re Looking ForTo be successful in this role, you’ll have:
*Previous experience as an Executive Assistant, Personal Assistant, or in a senior administrative role.
*Outstanding organisational and time management skills.
*Experience managing complex diaries and coordinating multiple priorities.
*Excellent minute-taking skills.
*Strong written and verbal communication skills.
*Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
*The ability to work independently and use your initiative.
*Experience handling confidential and sensitive information with discretion.
*A professional, adaptable, and proactive approach.
Working Pattern*Monday to Friday
*37.5 hours per week
*Hybrid working available, subject to service requirements.
*Office attendance required to provide cover when needed.
*Part-time applications may also be considered.
