Full job descriptionJob Purpose: Youth Justice Service


1. To provide an effective administrative and support service across all areas of the Youth Justice Service.


Duties of the Post: Youth Justice Service




*To maintain personnel, financial and management information administrativesystems.


*To place orders for goods and equipment as authorised.


*To ensure that inventories of equipment held by the Service are maintained.


*To maintain a range of different filing systems.


*To organise, attend and minute professional meetings,


*To maintain diaries and appointments systems, record of staff movements, arrange duty rotas


*To assist with the provision of a reception service, (i.e., answering telephone and dealing with visitors to the building).


*To type documents from either a written or audio format.


*To distribute documents and deal with incoming and outgoing post


*To use information technology and word processing packages to prepare and distribute reports, agendas, minutes, statistics, correspondence and other documents.


*To enter data and receive output from any electronic computer system as required.


*To maintain administrative system to collect, collate and analyse statistical data.


*To keep appropriate, accurate and up-to-date records and maintain systems to support record keeping.


*To ensure security of administrative systems and maintain protocols regarding confidentiality.


*To undertake all necessary liaison with staff inside or outside the council, in the effective discharge of the post.


*To undertake the archiving of YJS documentation in preparation for relocation and beyond.


*To adhere to the Youth Justice Service’s policies and procedures, including statutory requirements.


*To have due regard to the requirements of Health and Safety at work regulations.


*To ensure that work undertaken promotes the council’s Equal opportunities Policy in relation to service delivery ad personnel.


*To work in a manner that promotes equality of opportunity for both staff and service users.


*To undertake any other duties as may be appropriate to the level and nature of the post, as determined by the Service Lead/Strategic Leader of Youth Justice Service.
EXPERIENCE/EDUCATION Youth Justice Service
*GCSE or equivalent English and Maths or experience of demonstrating ability at this level.


*Experience of undertaking administrative work


*Knowledge of computer based information system and application (e.g Microsoft Word, Excel, etc)


*Knowledge of the criminal Justice system and developing and maintaining administration procedures services for offenders


*Maintain complex information.


*Preparation of correspondence to external agencies


*Providing information and dealing with queries from a range of people
KNOWLEDGE/SKILLS/ABILITIES: Youth Justice Service
*A knowledge and application of budget monitoring


*Ability and to take concise and accurate notes at court/meetings.


*Ability to use new technology for data input and information extraction


*Attention to detail, be systematic in handling information and processes
