Our client, a highly respected architecture practice based in London’s West End, is seeking a proactive Project Coordinator Assistant to support their busy project teams. This is an excellent opportunity for someone with strong organisational skills who is eager to develop their experience within project coordination and gain exposure to a range of exciting architectural projects.
While experience with Adobe Creative Suite would be an advantage, full training will be provided for the right candidate who is enthusiastic and keen to learn.
Key Responsibilities
*Provide administrative and project coordination support across multiple project teams.
*Assist with project documentation, workflows, extranets, and document management processes.
*Prepare professional reports, schedules, programmes, proposals, and other project-related documents using company templates and software.
*Provide cover for Project Coordinators during periods of absence.
*Support the onboarding of new team members, including guidance on systems, workflows, and health & safety procedures.
*Coordinate introductions and portfolio presentations for new starters.
*Manage diaries and calendars, ensuring meetings and stakeholder communications are effectively organised.
*Arrange travel, accommodation, meetings, events, catering, and other logistical requirements.
*Maintain accurate project records, databases, and team contact information.
*Assist with statutory application submissions and provide general administrative support to project teams.
*Ensure all project materials, CVs, and proposals adhere to company branding guidelines.
*Process timesheets, expenses, annual leave requests, and assist with project costing enquiries.
*Coordinate sub-consultant agreements and maintain accurate documentation.
*Update project costing systems and prepare reports for commercial reviews.
*Support the smooth running of the office, including post management, office maintenance, and communal area upkeep.
*Maintain health & safety records, fire risk assessments, and compliance documentation.
*Provide reception and switchboard cover, greet visitors, and prepare meeting rooms when required.
