Personal AssistantWe are seeking a highly organised, proactive and professional Personal Assistant to provide comprehensive administrative and secretarial support to Executive Directors
This is a fast-paced and varied role where you will be responsible for managing complex diaries, coordinating meetings, handling confidential correspondence and ensuring the smooth day-to-day operation of the Executive Directors’ portfolios. The successful candidate will act as a key point of contact for internal and external stakeholders and play a vital role in supporting senior leadership.
Key ResponsibilitiesExecutive Support*Manage complex and constantly changing diaries.
*Coordinate meetings, appointments and travel arrangements.
*Monitor and manage Executive Directors’ email inboxes.
*Handle incoming and outgoing correspondence.
*Prioritise enquiries and respond appropriately on behalf of Executive Directors.
*Prepare reports, presentations and professional documentation.
Meeting & Committee Support*Organise and attend Board and Committee meetings.
*Produce accurate minutes and action logs.
*Prepare agendas and circulate papers to agreed deadlines.
*Track actions and ensure timely follow-up.
*Maintain meeting records and governance documentation.
Stakeholder Management*Build effective relationships with colleagues, senior leaders, external partners and regulatory bodies.
*Act as a professional ambassador for the organisation.
*Manage sensitive and confidential information with discretion.
*Deal professionally with complex enquiries and challenging situations.
Administrative & Office Management*Maintain electronic and paper filing systems.
*Ensure accurate record keeping and document management.
*Support projects and ad hoc work as required.
*Contribute to the continuous improvement of office processes and systems.
*Provide cover for colleagues during periods of absence.
What We’re Looking ForEssential*Significant recent experience providing PA support at Director or Senior Manager level.
*Experience managing multiple priorities and competing deadlines.
*Experience taking minutes at senior-level meetings and committees.
*Excellent organisational and time management skills.
*Strong written and verbal communication skills.
*Ability to handle sensitive information with confidentiality and professionalism.
*Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
*Ability to work proactively, independently and under pressure
*Excellent attention to detail and problem-solving abilities.
*Experience working within healthcare
