Reed is delighted to be partnering with a leading professional services organisation to recruit an experienced Personal Assistant for a 12-month fixed-term contract based in Edinburgh.
This is an excellent opportunity for a highly organised and proactive individual to join a busy and collaborative team, providing comprehensive PA and secretarial support to a group of senior professionals. The successful candidate will play a key role in ensuring the smooth running of day-to-day operations, delivering exceptional administrative support within a fast-paced environment.
The Role
As a Personal Assistant, you will provide effective and efficient support to fee earners and colleagues across the wider business. You will be responsible for managing a varied workload, balancing priorities and ensuring deadlines are met while maintaining the highest standards of accuracy and professionalism.
Key Responsibilities
*Producing and amending correspondence, reports, presentations and complex documentation.
*Supporting the preparation and submission of court and legal documentation where required.
*Drafting communications on behalf of senior stakeholders.
*Managing complex diaries, meetings, room bookings and travel arrangements.
*Coordinating meeting logistics, including technology, catering and minute-taking where required.
*Monitoring and managing inboxes, ensuring prompt action and organisation of correspondence.
*Supporting client and matter opening and closing processes, including compliance-related administration.
*Assisting with billing processes, invoice production and financial administration.
*Processing expenses and maintaining accurate records.
*Managing document filing, scanning and storage requirements.
*Maintaining client and contact databases, ensuring information is accurate and up to date.
*Liaising with internal departments including Finance, Facilities, IT, Marketing and Business Development.
*Providing wider support to colleagues and teams as business requirements dictate.
About You
To be successful in this role, you will demonstrate:
Essential Skills & Experience
*Previous experience in a Personal Assistant or Executive Assistant role.
*Experience supporting professionals within a litigation or legal environment.
*Excellent organisational and time-management skills.
*Strong attention to detail and a commitment to accuracy.
*Exceptional written and verbal communication skills.
*Ability to manage multiple priorities and meet tight deadlines.
*Proficiency in Microsoft Office, including Word, Excel and PowerPoint.
*A proactive and flexible approach to supporting a busy team.
