A well-established and professional financial services firm is looking for an experienced Paraplanning Administrator to join them. This is an excellent opportunity for someone with previous experience in financial services administration and paraplanning support who enjoys working in a structured, client-focused environment. Please note that this role is fully office based and is currently in High Wycombe, with relocation planned to Hare Hatch, Berkshire, mid November 2026. Commutable from High Wycombe, Henley on Thames, Marlow, Maidenhead, Twyford and surrounds.
The Role
Working closely in a small team of Paraplanners, Independent Financial Advisers and the Operations Manager, you will provide high-quality administrative support across the advice and new business process. You will be responsible for coordinating information, maintaining accurate records and ensuring cases are progressed through to completion. Key Responsibilities:
*Provide day-to-day administrative support to the Paraplanning team, helping to ensure cases are processed efficiently and within agreed timescales.
*Gather, organise and maintain client information and supporting documentation required for the preparation of financial advice.
*Assist with pension information requests, research and the collation of relevant client data.
*Support the preparation of client reports, ensuring information is accurate, clearly presented and ready for Paraplanner review.
*Work closely with Paraplanners, Advisers and the Operations Manager to maintain effective processes and consistently high service standards.
*Assist with the preparation and distribution of detailed client annual review packs.
*Process and monitor new business submissions across a variety of investment providers and platforms.
*Take ownership of outstanding actions and proactively chase cases through to completion.
*Keep Advisers and clients informed of progress and provide updates where required.
*Maintain accurate and timely records across the new business register and relevant internal systems.
*Complete monthly valuations, including DFMS and client-issued valuations.
*Respond professionally and promptly to routine queries from clients, Advisers and product providers, escalating more complex matters where appropriate.
*Maintain accurate client records in accordance with company procedures and data protection requirements.
*Develop and maintain knowledge of financial products, platforms, processes and relevant regulatory requirements.
*Make effective use of systems including Microsoft Office, Intelligent Office, Papercloud, FE Analytics and various provider platforms.
About You
We are looking for an organised and proactive individual who takes pride in delivering accurate work and providing excellent support to both colleagues and clients.
*Previous experience within financial services administration and/or paraplanning – essential.
*Strong written and verbal communication skills.
*Strong proficiency in Microsoft Word, Excel and Outlook.
*A sound understanding of financial planning terminology and processes.
*Excellent attention to detail and a methodical approach to administration.
*The ability to manage multiple cases and competing priorities while maintaining accuracy.
