Full job descriptionAn excellent opportunity has arisen for an organised and detail-focused Purchasing Admin Assistant to support a busy purchasing function within the hydraulics and electronics sector. Working closely with the Purchasing Manager, you will provide efficient administrative support across purchasing, production and stores, helping to ensure stock and materials are available to meet customer delivery requirements. The role involves raising purchase orders, liaising with suppliers, maintaining accurate Sage and stock records, processing returns and supporting general office administration. This position would suit a proactive team player with strong communication, computer and data processing skills who enjoys managing varied priorities.
Duties & Responsibilities*Raise and process purchase orders for stock, non-stock items and tooling, liaising with suppliers regarding pricing, specifications and delivery requirements.
*Maintain accurate supplier, purchase price, stock and product information within Sage, including creating supplier accounts and part numbers.
*Monitor purchase order acknowledgements and delivery schedules, identifying and resolving discrepancies to help ensure goods arrive on time.
*Resolve stock queries and process stock adjustments, maintaining accurate information including HS codes, weights, country of origin and relevant product data sheets.
*Update Bills of Materials (BOMs), process internal works instructions and maintain relevant purchasing and machine tooling spreadsheets.
*Manage supplier returns, chase outstanding purchase returns and liaise with suppliers, production and sales regarding issues, repairs and delivery dates.
*Provide efficient general administration support, including maintaining and archiving records, filing, answering telephone calls and providing office cover when required.
*Work in accordance with company procedures, quality standards and relevant health, safety, welfare and data protection requirements.
Education & Skills Required*Previous experience within an office or administrative environment, with a positive and collaborative approach to teamwork.
*Strong computer literacy and data processing skills, with the ability to use Sage Accounts, Microsoft Office, email and internet-based systems.
*Excellent communication, interpersonal and customer service skills, with a professional and courteous manner.
*Excellent attention to detail, with a conscientious and diligent approach to maintaining accurate purchasing, supplier and stock information.
*Self-motivated, adaptable and able to use initiative while effectively managing changing priorities and workloads.
*A purchasing qualification would be desirable, together with an interest in developing purchasing and procurement skills.
