Job Description:
Full job descriptionWe are looking for a friendly, organised and proactive Showroom & Project Administrator to provide maternity cover for approximately 12–16 months.
This is a varied role offering the opportunity to become an important part of a small, close-knit team. You’ll be responsible for supporting clients throughout their project journey, keeping administration on track, assisting with showroom operations and providing support for exhibitions, events and marketing activity.
Key Responsibilities
Client & Project Support
*Managing administration from initial client enquiry through to project completion.
*Gathering initial client information and passing accurate briefs to the design team.
*Setting up and maintaining projects using Cyncly.
*Obtaining supplier quotations and keeping project information up to date.
*Arranging client appointments and carrying out follow-up communication.
*Maintaining accurate client files, folders and project documentation.
*Preparing client and installation packs.
*Setting up client WhatsApp groups and assisting with general queries.
*Liaising with clients, designers, suppliers and installers regarding project progress, outstanding items and remedial works.
*Escalating design or technical queries where appropriate.
*Occasionally assisting with the coordination of local installations.
Showroom & Office Administration
*Opening and closing the showroom on designated days.
*Preparing the showroom for appointments.
*Welcoming clients and providing refreshments.
*Maintaining a clean, tidy and presentable environment.
*Keeping samples, brochures and displays organised.
*Ordering samples, literature and general showroom supplies.
*Receiving and correctly storing deliveries.
*Labelling goods with relevant client information.
*Maintaining stock records and carrying out general administrative duties.
Events, Exhibitions & Marketing
*Pre- and post-exhibition administration.
*Lead management and follow-up.
*Preparing invitation lists and managing RSVPs.
*Supporting showroom events and customer evenings.
*Basic social media activity relating to exhibitions, events, products and promotions.
*General marketing and event administration.
There will be occasional Sunday working, typically around three times per year, to support consumer exhibitions. These dates will be arranged in advance and will be compensated through additional pay or time off in lieu.

You will ideally have:
*Excellent organisational skills and strong attention to detail.
*A friendly and confident manner when dealing with customers.
*The ability to work independently and use your own initiative.
*Good time-management skills and the ability to manage competing priorities.
*A dependable and flexible approach to work.
*Good written and verbal communication skills.
*Confidence using email, WhatsApp and computer-based systems.
*An interest in or basic understanding of social media.
*The ability to recognise when an issue needs to be escalated.
*A willingness to learn new systems, products and processes.
*A team-focused attitude and a willingness to help wherever required.
Working Pattern
The position is offered on a 24–30 hour per week basis.
Tuesday, Friday and Saturday are essential working days, with Saturday hours being 9.30am–4.00pm.
There is some flexibility around how the remaining hours are arranged, depending on the successful candidate.
Due to the nature of the position, there will be an element of lone working, particularly on Fridays and Saturdays, including responsibility for opening and closing the showroom. You should therefore be comfortable working independently and taking ownership of the showroom when required.

As part of our recruitment and compliance process, successful candidates will be required to provide a copy of their UK Right to Work documentation, a selfie for identification purposes, and complete an Elite Personnel application form.
