Job Description:
Full job descriptionWe are working with a well-established international shipping company who are looking for an experienced Office Administrator to join their London office.
This is a varied, hands-on position and would suit someone who enjoys being at the heart of an office and taking responsibility for ensuring everything runs smoothly day to day. You’ll be joining a professional and friendly working environment, supporting colleagues across the business and acting as a key point of contact for the London office.
The roleYour responsibilities will include:
*Overseeing the day-to-day administration and smooth running of the office
*Managing the reception area, welcoming visitors and handling calls and correspondence
*Coordinating meetings, catering, travel and accommodation
*Managing office suppliers, contracts, service agreements and renewals
*Liaising with building management and coordinating health & safety requirements
*Supporting the onboarding of new employees and interns
*Processing invoices and tracking payments through SAP
*Coordinating office maintenance, IT-related requests and other service issues
*Managing industry subscriptions and renewals
*Providing wider administrative support to the team when required
About youWe’re looking for someone who is organised, proactive, professional and personable, with previous experience in a similar office administration or office management position.
You’ll need to be comfortable juggling a variety of responsibilities and dealing with people at all levels of a business. Attention to detail, discretion and a willingness to get involved wherever needed will be particularly important.
You should also have:
*Previous experience within a well-established and professional office environment
*Strong organisational and time-management skills
*Excellent written and verbal English
*Good Microsoft Office skills
*Strong communication and interpersonal skills
*The ability to prioritise and work independently
*A proactive, trustworthy and flexible approach
Experience within shipping, maritime or another international professional environment would be advantageous, but is not essential.
