We are looking for a proactive and enthusiastic Music Department Coordinator to ensure the smooth operation of our dynamic Music Department. This role is ideal for someone who thrives in a fast-paced educational environment and is skilled in coordinating events, managing processes, and serving as a key point of contact for pupils, parents, and staff.
Day-to-day of the role:
*Manage the music graduate assistant including onboarding, induction, probation periods, overtime claims, TOIL, sick pay, termly appraisals, and daily tasks.
*Handle purchasing and ordering with the departmental credit card, manage invoice payments, and maintain accurate records of departmental expenditure and budget monitoring.
*Solely responsible for accurate data for pupil billing and payroll for visiting music teachers, coordinating with the bursary team regarding bursary pupils.
*Serve as the first point of contact for parents, visiting music teachers, and the finance department regarding one-to-one music lessons, including new starters, billing queries, and complaints.
*Coordinate all administrative aspects of the music department, manage the take-up of instrumental lessons, the waiting list, maintenance and repairs of instruments, and the organisation of school concerts and events.
*Act as the School’s appointed representative for various music examinations, managing administrative and practical requirements and communicating results.
*Assist with the recruitment of visiting music teachers and music graduate assistants, including interviewing and onboarding.
*Coordinate communications and marketing for the department, including producing brochures, music publications, and updates for newsfeeds and school socials.
*Continually review and develop the music department handbook, including updating procedures and policies, and advising staff on their implementation.
Required Skills & Qualifications:
*Good level of general education, educated to A level (or equivalent qualification).
*Proven administrative experience with a good experience in monitoring budgets and undertaking financial administration.
*Excellent oral and written communication skills, with the ability to advise on course requirements and administration.
*Good level of proficiency in IT packages and databases.
*Ability to develop and sustain good working relationships.
*Conscientious and motivated with a methodical approach to work.
*Experience in the administration and coordination of educational courses and programmes within an Independent school environment is essential.
