Full job descriptionA successful and growing service-led organisation is seeking an organised and proactive Operations Administrator to join its busy operations team. This is a varied role that will suit someone who enjoys working in a fast-paced environment, coordinating workloads, and providing excellent customer service.
As an Operations Administrator, you will play a key role in ensuring that customer requests are handled efficiently, jobs are scheduled effectively, and operational processes run smoothly from start to finish.
Key Responsibilities
Act as a first point of contact for customers via telephone and email.
Log and process customer enquiries and service requests.
Coordinate and schedule work for field-based engineers.
Support the planning and delivery of both reactive and pre-arranged service work.
Monitor ongoing projects and ensure works are progressing within agreed timescales.
Maintain accurate records and update information on internal systems.
Keep customers informed of job progress and completion updates.
Process engineer reports and supporting documentation.
Raise purchase orders and assist with general operational administration.
Identify potential issues and escalate or resolve them where appropriate.
Provide administrative support across the wider operations function.
Participate in an out-of-hours on-call rota as required.
Skills & Experience Required
Previous experience within an administration or coordination role.
Strong communication skills, both written and verbal.
Excellent customer service abilities.
Strong organisational and time-management skills.
High level of accuracy and attention to detail.
Ability to manage multiple tasks and prioritise workloads effectively.
Confident working independently and as part of a team.
Good problem-solving skills and the ability to use initiative.
Experience scheduling engineers, operatives, or field-based staff would be advantageous, although full training can be provided.
