Part-time | 12 hours per week | Remote
£30,000 FTE
We are seeking a dependable and highly accurate Portfolio Administrator to provide hands-on administrative support across portfolio operations, lender communications and internal records.
This is a small, fast-moving business, so the successful candidate must be comfortable working independently, following written processes carefully and taking ownership of routine tasks.


Responsibilities:
*Maintain accurate loan records on the portfolio management platform, using information supplied by the Portfolio Manager, loan operations team and professional advisers.
*Monitor agreed actions, deadlines and information requests; chase outstanding items proactively and escalate delays or inconsistencies promptly.
*Prepare draft portfolio recovery summaries, including reporting packs for committees, for review and approval before issue.
*Prepare routine notices and correspondence from approved templates, including lender termination notices, and maintain complete issuance records.
*Maintain orderly digital files, trackers, contact records and audit trails across the portfolio.
*Support day-to-day bookkeeping in Xero, including posting transactions, maintaining supporting records and assisting with reconciliation preparation.
*Provide concise progress updates and identify missing, contradictory or incomplete information before it causes delay.
*Undertake other reasonable administrative tasks consistent with the role.

You will be someone who:
*is exceptionally accurate and completes written instructions in full;
*checks their own work carefully before submitting it;
*communicates early when something is unclear, delayed or cannot be completed;
*takes initiative to identify the next practical step rather than waiting passively;
*can manage several small workstreams and follow them through to completion;
*writes clearly and professionally, with strong spelling and grammar;
*handles confidential personal, commercial and financial information with discretion; and
*is comfortable working independently in a remote role while remaining responsive and accountable.
Experience:
*Previous experience in administration, operations, bookkeeping, financial services, property lending, legal services or another detail-critical environment.
*Strong working knowledge of Microsoft 365, particularly Outlook, Word and Excel.
*Experience using Xero, Mailchimp, CRM or loan-management systems is desirable; training can be provided for the right candidate.
*Ability to organise information logically and maintain reliable records and audit trails.
