We are seeking a highly organised and proactive Administrative Assistant to provide support across a busy office environment. This varied role involves reception cover, invoicing, credit control, post management, and general administrative support. The successful candidate will be confident managing multiple priorities, have excellent attention to detail, and possess strong communication skills.
Key ResponsibilitiesReception Duties*Provide reception cover every Wednesday, during lunch breaks, and for annual leave.
*Welcome clients and visitors in a professional and friendly manner.
*Answer and transfer incoming telephone calls.
*Coordinate meeting and appointment schedules.
Credit Control*Monitor outstanding invoices for designated directors.
*Contact clients regarding overdue payments by phone and email.
*Maintain accurate records of communications and payment arrangements.
*Process credit card payments over the phone.
Invoicing*Prepare and issue invoices promptly and accurately.
*Monitor incoming payments and reconcile accounts.
*Assist with reporting and related administrative tasks as required.
Post Management*Sort and distribute incoming mail.
*Prepare outgoing post and parcels.
*Maintain organised filing and correspondence systems.
General Administration*Support data entry and document preparation.
*Assist with organising meetings and office events.
*Provide additional administrative support as required.
Skills & ExperienceEssential
*Previous administration experience is desirable.
*Proficiency in Microsoft Office, including Word, Excel, and Outlook.
*Excellent organisational skills and attention to detail.
*Strong written and verbal communication skills.
*Ability to prioritise workloads and meet deadlines.
Desirable
*Experience working in a finance, accounts, or professional office environment.
*Exposure to invoicing, credit control, or accounts administration.
