Full job descriptionPersonal Assistant (3-Month Contract)
Do you have experience in minute taking and diary management? If so, we have a fantastic opportunity for a Personal Assistant on an initial 3-month contract.
As a Personal Assistant, you will play a key role at the heart of the organisation, working closely with the Corporate Support Team to ensure the smooth running of services and providing essential support to senior executives to enable them to operate effectively and promote best practice across the business.
Key Responsibilities
*Provide dedicated support to the Director of Operations, managing a complex and demanding workload.
*Support the Executive Assistant with Board-level committees and partnership meetings.
*Provide additional support to the Chief Executive, Board, and wider Executive Team during busy periods and annual leave cover.
*Prepare agendas, coordinate meetings, and take accurate minutes, ensuring actions are recorded and followed up appropriately.
*Manage complex diaries, schedules, and meeting arrangements.
*Line manage the Panel Coordinator, ensuring social work operational meetings chaired by the Director of Operations are effectively coordinated and delivered.
*Provide cover for the Panel Coordinator during periods of annual leave.
*Work as part of a rota system to handle and direct external calls to the organisation.
*Build and maintain effective working relationships with internal and external stakeholders.
Essential Skills and Experience
*Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role.
*Strong minute-taking experience and the ability to produce accurate records of meetings.
*Excellent diary management and organisational skills.
*Experience supporting senior leaders in a fast-paced environment.
*Strong communication and interpersonal skills.
*Ability to prioritise workloads and manage multiple tasks effectively.
*Experience of line management or team coordination would be advantageous.
*Proficient in Microsoft Office applications, including Outlook, Word, Teams, and Excel.
