Job Description:
Full job descriptionWe are working with a leading property developer (leading residential property developer) to find an organised, detail-driven Utilities Manager / Portfolio Administrator to take ownership of utilities across their portfolio and keep the team’s admin running smoothly.
Utilities Manager / Portfolio Administrator
London | Salary: c.£32,000 | Hybrid: 3 days office, 2 days home
Our client is growing their in-house property team and looking for someone to join them in this varied, office-based support role at the heart of their team. You’ll be the person who makes sure every bill is right, every certificate is in date and every tracker is up to date, with the freedom to improve the systems you inherit. The perks are good too: an in-house chef prepares breakfast and lunch for the team every day.
The Role
You’ll own the checking and management of utilities across the portfolio, alongside wider administration for the property team.
Review and validate supplier utility bills across the portfolio, checking billing periods, account names, meter readings and VAT treatment
Manage MPAN and meter data, making sure supply records are accurate and up to date
Handle council tax across the portfolio, including liabilities, voids and account changes
Query billing errors with suppliers and get them resolved
Maintain trackers for compliance certificates and warranties so nothing lapses
Improve existing Excel trackers, or build new ones, to make reporting clearer and more efficient
Arrange contractors and coordinate visits across the buildings
Provide general office and administrative support to the property team
This is an administrative role. You won’t need engineering or meter-installation expertise, but you will need a sharp eye for detail and a good understanding of how utility billing works.
The Person
You’ll come from a utilities, property administration or facilities background, and you’ll be confident reading and challenging a utility bill. You’ll also bring:
Experience checking and managing utility bills, ideally across a multi-site or property portfolio
A working understanding of MPANs, meter readings, VAT on utilities and council tax
Strong Excel skills and the confidence to build and improve trackers
Excellent attention to detail and a methodical, organised approach
Experience in an office or property administration role, including coordinating contractors
Clear, confident communication with suppliers, contractors and colleagues
A proactive mindset and a habit of spotting ways to do things better
The Package
Salary: c.£32,000
Hybrid working: three days in the office, two from home
Breakfast and lunch prepared daily by an in-house chef

Pension
The chance to join a growing client-side team at a leading developer
