Job Description:
Full job descriptionWe have a great new opportunity for an experienced Bookkeeper or Finance Assistant to join an established UHNW private family office based in Chelsea.
This is a varied, hands-on position working closely with the Family Office Director and a small, close-knit team, helping to manage the day-to-day financial administration across the family’s personal, household and business interests.
We’re looking for someone who has a solid background in bookkeeping and financial administration, ideally gained within a private family office, superyacht environment or another luxury setting supporting UHNW individuals. An understanding of the expectations, discretion and attention to detail required when working within a private environment is particularly important.
The role will involve keeping accurate financial records, monitoring expenditure, reconciling bank accounts and credit cards, managing invoices and receipts, and ensuring the Family Office Director has a clear and organised overview of spending across the family’s various interests.
This isn’t a traditional accountancy position requiring complex financial reporting or tax preparation. Instead, we’re looking for someone who is confident with numbers, exceptionally organised and happy to take ownership of the everyday bookkeeping and financial administration that keeps a busy family office running smoothly.
Alongside the financial responsibilities, there will be some light administrative and EA support to the Family Office Director, so a flexible, helpful approach and willingness to get involved wherever needed will be appreciated.
Personality and presentation are equally important. The successful candidate will be professional, polished, personable and discreet, with excellent communication skills and the confidence to interact with senior colleagues, external advisors and, occasionally, the Principal. This is a close-knit team, so finding someone who will fit in well and enjoy being part of the family office long term is a real priority.
DUTIES TO INCLUDE: *Managing day-to-day bookkeeping and financial administration across the family’s personal, household and business interests.
*Monitoring expenditure across multiple bank accounts and credit cards, ensuring spending is accurately recorded and categorised.
*Reconciling bank statements, credit card transactions, invoices and receipts.
*Maintaining organised financial records and tracking expenditure across different properties, households and family office activities.
*Processing invoices, coordinating supplier payments and keeping accurate records of outstanding payments.
*Supporting household budgets, monitoring costs and helping the Family Office Director maintain oversight of spending.
*Preparing straightforward financial summaries, expense reports and spending breakdowns as required.
*Liaising with external accountants, financial advisors, suppliers and household staff to obtain information and resolve queries.
*Maintaining accurate and confidential financial documentation, both electronically and physically.
*Providing occasional administrative and light EA support to the Family Office Director.
*Assisting with ad hoc projects and general family office administration as required.
ESSENTIAL CRITERIA: *Previous hands-on bookkeeping or financial administration experience, with confidence managing accounts, expenses, reconciliations and financial records.
*Experience working within a private family office, superyacht environment or similar luxury setting supporting UHNW individuals is highly desirable.
*Experienced superyacht Pursers with strong bookkeeping, accounting and financial administration responsibilities are encouraged to apply.
*Good working knowledge of accounting software, financial management systems and Excel.
*Excellent attention to detail, with a methodical and organised approach to managing financial information.
*Professional, well-presented and personable, with the confidence to communicate comfortably with senior individuals and external stakeholders.
*A strong understanding of discretion, confidentiality and the expectations of working within a private environment.
*Proactive, sensible and reliable, with good judgement and the ability to work independently.
*A flexible, team-focused attitude and willingness to assist with occasional administrative responsibilities.
*Comfortable working in the Chelsea office five days per week.
*Right to work in the UK and strong, verifiable references.
An accounting qualification such as AAT would be advantageous but is not essential. Relevant practical experience, particularly within a family office or similar UHNW or even superyacht environment, will be equally valued.
