We are seeking an experienced Office/Accounts Manager to join our Bedford based clients well established team. The ideal candidate will be responsible for overseeing the daily operations of the office while managing accounts and financial transactions. This role requires strong organisational skills, attention to detail, and the ability to multitask effectively.
The Office/Accounts Manager, in collaboration with the Operations Manager, bears joint responsibility for ensuring project profitability as main the purpose of this role is to optimise profitability across assigned projects within the business.
Responsibilities
* Collaborate on the development of pre-commencement Commercial Strategies.
* Assist in finalising subcontract orders with clients, covering scope, documentation, pricing, scheduling, terms, conditions, and other pertinent details to align with company offerings.
* Ensure prompt receipt of client payments for assigned projects.
* Generate project-specific financial reports projecting costs and sales to be presented to Directors monthly. Reports should encompass comprehensive cost reconciliation covering labour, materials, subcontractors, equipment, and hire.
* Evaluate and promptly process subcontractor payment applications.
* Price and negotiate all client instructions and variations.
* Prepare Interim Applications for Payment to clients for all assigned projects.
* Identify, assess, and settle variations, including associated costs, with clients.
* Timely submission of all contractual notices concerning financial matters, delays, and disruptions.
* Prepare financial claims for price adjustments post-fixed-price period, subject to Director approval.
* Timely submission of Final Accounts, approved by Directors.
* Validation of PAYE installer costs.
* Prepare Subcontract and purchase orders for Director approval prior to issuance.
* Foster effective working relationships with PQS’s, Supply Chain, Clients QS, Operational Staff, etc.
* Manage subcontractor payroll processing.
Requirements
* Ideally hold a degree in accounting, finance, business administration, or related field.
* Proven experience in office management and accounting roles.
* Strong knowledge of accounting principles and practices.
* High level of proficiency in accounting software and MS Office suite.
* Excellent communication and interpersonal skills.
* Ability to prioritise tasks and meet deadlines in a fast-paced environment.
* Attention to detail and accuracy in financial record-keeping.
* Leadership skills and the ability to work effectively as part of a team.
